This Privacy Policy describes how Erwin Utilities Authority collects, uses, and protects mobile telephone numbers in connection with its Roll Call SMS text messaging program.
About the Program
Roll Call is an internal staff notification and safety accountability system operated by Erwin Utilities Authority for its active employees. It sends SMS messages for safety drills, internal safety meetings, severe weather events, and building evacuation or shelter procedures, each allowing the employee to confirm their status. The program is limited to active employees and is not available to the general public.
Information We Collect
We collect the employee’s personal mobile telephone number, which the employee provides and verifies through their Roll Call account, along with message delivery records (timestamps and delivery status) for safety-accountability purposes.
How We Use Mobile Numbers
Mobile numbers are used solely to deliver internal safety notifications, verification codes, and meeting roll-call messages to the employee who provided the number. They are not used for marketing.
No Sharing or Sale of Mobile Information
Mobile telephone numbers and SMS consent collected for the Roll Call program are never sold, rented, or shared with any third party or affiliate for marketing or independent use. Numbers are used only by Erwin Utilities Authority to operate the program. Information may be processed by our SMS delivery provider solely to transmit these messages on our behalf.
Consent and Opt-In
Participation is voluntary and is not a condition of employment. Employees opt in within the Roll Call application by entering their mobile number, verifying it with a one-time six-digit code, and explicitly enabling SMS notifications. Message Frequency
Message frequency varies based on operational events. A typical week includes one to four messages, with additional messages during drills or severe weather events.
Message and Data Rates
Message and data rates may apply, depending on the employee’s mobile carrier and plan.
Opting Out
Employees may opt out at any time by replying STOP to any message, unchecking “Receive SMS notifications” in the Roll Call application, or replying HELP for assistance. Opt-out requests are honored immediately.
Data Security and Retention
Mobile numbers and related records are stored on Erwin Utilities Authority’s private infrastructure, accessible only to authorized personnel, and retained for as long as the employee participates in the program and as needed for recordkeeping.
Changes to This Policy
We may update this policy from time to time. Revisions will be posted on this page with an updated effective date.
